Invoice Not Showing in Taxpayer Portal | Causes & Complete Solutions
If your invoice is marked as “Approved” in the middleware software but you cannot see it in the Taxpayer Portal, it usually is not a user error. This guide lists the 4 most common causes and the exact steps to verify and resolve each one.
Quick checklist (start here)
-
1Remove filters in “Domestic Sales”Open Advanced Search and remove active filters (season/year/status).
-
2Select the correct season & yearIf needed, manually select the season (e.g., Spring) and the year, then search.
-
3Verify sub-user permissionsIf you’re logged in as a sub-user, confirm roles from the primary account.
-
4Run a status inquiry (“Success”)If inquiry returns Success but the list is empty, it is usually a portal processing delay.
Season change & automatic portal filters
When a new season begins, the Taxpayer Portal may automatically set the default report to the current season. For example, from early July, the default may switch to Summer, so invoices from Spring won’t show by default.
- Go to Domestic Sales
- Open Advanced Search
- Remove filters
- Or select the correct season & year and search
Many users stay on the default view and assume the invoice is missing, while it is only filtered out by season.
Sub-user role/permission changes
Recent updates may require explicit roles/permissions for sub-users. As a result, a sub-user can log in successfully but still cannot view invoices.
- Log in with the primary username/password
- Open Tax File Management
- Go to User Management
- Select the sub-user (National ID)
- Enable invoice view permissions under Roles
- Save, then re-login with the sub-user
Accepted by the authority, but temporarily not visible
Sometimes the invoice is “Approved” in software and the online inquiry returns Success, yet the portal list remains empty. This is typically a processing delay (often during VAT-related updates).
- Export the invoice list to Excel from the portal or the software.
- In the middleware, open Invoice Control.
- Run the control to list invoices currently visible in the portal.
If the invoice does not appear in the control list but inquiry is Success, it usually exists in the portal and will appear after processing completes.
You need to show it today (fast operational workaround)
If you must prove the invoice today for payment/settlement, use this practical workaround:
- Issue an Amendment for the same invoice.
- Copy the invoice Tax Number.
- Search the portal using the Tax Invoice Number.
- The amendment invoice usually appears.
- In Details, the “Reference” section shows the original invoice number.
Final summary
If online inquiry returns Success, the invoice is accepted and exists in the system—even if it is temporarily not visible in the list.
